Executive Administrative Assistant - Sales

We’re looking for a candidate who has demonstrated professionalism in working with all employee levels. They have the ability to think proactively and strategically on behalf of our Novi executive team. This role demands a strong sense of urgency, the ability to work independently with good judgement. Discretion and a high level of integrity to handle confidential information inside and outside of the organization is required.

Who you’ll work with:
Global Sales Organization including; VP of Sales & Marketing, Executive Sales Directors, Technical Sales Managers, Business Unit Stakeholders, Engineering, local and corporate; IT, HR, Finance, and Administrative teams

Who you’ll support/report to: VP of Sales & Marketing

Role Responsibilities:
• Own and manage complex calendars, schedules and events for multiple time zones as a proxy for VP
• Prepare VP for all meetings in a timely manner, ensure all documents are available and up to date
• Manage complex domestic and international travel itineraries and arrangements
• Support internal/external sales presentation and document development by collecting information, formatting, proofing and editing
• Manage executive expenses; coordinate, reconcile and submit expense reports
• Organize and execute meetings, events and team activities (all associates meetings, team building activities, happy hours, staff meetings, one-to-one’s, etc.)
• Responsible for all meeting; invites, distribution, schedules, agenda, action items, and notes
• Support a strong team culture with a positive and creative approach
• Proofing and writing correspondence including; emails, thank you, invites for executive events, etc.
• Assisting with executive customer and supplier meetings, room prep, catering, presentations, etc.
• Support location/building and space initiatives for strategic organizational growth
• Act as a proxy for Administrative team including Front Office Administration
• Miscellaneous office duties as assigned

Qualifications, Experience and Skills:
• Bachelor's Degree in Business Administration or applicable field from an accredited University is preferred
• 7+ years of experience as an Executive Level Administrative assistant
• Experienced in multitasking and prioritizing requests, in time sensitive situations
• Effective follow up and completion of open items
• Demonstrated experience in anticipate delivering results within an entrepreneurial, fast paced environment
• Global team experience in the Automotive Industry and an understanding OEM/Supplier relationships
• A high level of proficiency using; Microsoft Word, PowerPoint, Excel and Outlook
• Experience using CRM platforms, (ex. Salesforce) is preferred
• Experience with grants and local chamber of commerce or governments is preferred
• Ability to manage multiple executives and executive level visitors is preferred
• A solutions based customer relations approach with clear written and verbal communication skills
• Ability and valid documentation to travel internationally
• Passion, and the ability to demonstrate perseverance
