Position: Front Office Assistant - Sales Organization
Location: 25540 Seeley Rd, Suite 700, Novi, MI 48375

Our ideal candidate has a demonstrated progressive career in customer service and supporting employees in a professional setting. As the first point of contact in the Novi office site we need someone who has a positive attitude and a high level of energy. They have experience with the MS Office suite software, have travel coordination experience and are solutions focused during challenging situations.

Who you’ll work with:
• You’ll report to the HR Manager in Novi, MI
• Internal: Daily engagement with all levels of the company at the Novi facility, collaborate closely with members of the Office team and other Multimatic sites as needed 
• External: Customers, partners, visitors, guests and vendors

Responsibilities include:
• Support all employees and customers as the first contact with the Multimatic Novi office
• Participate in special projects, as needed – COVID-19 Return to work activity
• Develop and distribute office; procedures, communication, letters, faxes, forms
• Coordinate mail and shipping processes including requests for package pickup/distribution
• Order and maintain office supplies, reconcile invoices and coordinate payments with Accounting
• Oversee general office organization, cleanliness and maintenance
• Answer and direct incoming phone calls and take messages as needed
• Support Novi facility colleagues with travel coordination
• Review and analyze office best practices and provide continuous improvement suggestions
• Prepare proper documentation for global travel as required (work visas)

You have to have (requirements):
• Minimum of 2 years of experience with customer focused responsibilities 
• Ability to be on site and ready to work, Monday - Friday from 7:30am-4:30pm
• Flexibility for occasional (pre-planned as much as possible) overtime 
• A High School Diploma or equivalent certification
• A solutions based customer relations approach with clear written and verbal communication skills
• Passion, an entrepreneurial mindset and the ability to demonstrate perseverance

Our work environment and physical demands:
• The ability to work in an office environment is required which may include sitting or standing for the majority of the day
• Local travel – less than 10%
