Multimatic Product Services (MPS) specializes in providing product engineering and account management support internally to the business units and externally to the customer base. Giving employees the opportunity to work with the most sophisticated technologies, manufacturing operations and automotive customers in the global market.

Position Summary:

We’re looking for a highly motivated individual to support the Multimatic Novi office as a Receptionist. Our ideal candidate has a demonstrated progressive career in customer service and supporting employees in a professional setting. As the first point of contact in the Novi office site this person would display a high level of energy with a positive attitude.

They are competent in MS Office suite, have travel coordination experience and are solutions focused during challenging situations.

Key Responsibilities:

Reception:

  • Support internal and external customers as the first contact with the Multimatic Novi office
  • Answer and direct incoming phone calls and take messages as needed
  • Provide general support to visitors including refreshments
  • Receive, sort and distribute the mail
  • Coordinate office equipment repairs
  • Prepare and distribute communication; memos, letters, faxes, forms
  • Support colleagues with presentation development, preparation and printing (monthly division meetings)
  • Manage shipping process including requests and coordination of package pickup/distribution
  • Reconcile office invoices, FedEx, Office supplies and coordinating payments with Accounting
  • Responsible for ordering and maintaining office supply inventory
  • Reconcile and submit expense reports
  • Oversee general office organization and cleanliness maintenance
  • Maintain conference room schedules, book conference calls as needed
  • Develop and communicate office procedures
  • Participate in special projects, as needed
  • Review and analyze office best practices at other Multimatic locations, provide benchmarking and continuous improvement suggestions to the Office Team/Leadership
  • Support other personnel positions as back up, as applicable

Travel:

  • Support Novi facility colleagues with travel coordination
  • Prepare proper documentation for global travel as required (work visas)
  • Ensure approval of travel expenses with leadership

Communication and Collaboration:

  • Daily engagement with all levels of the company
  • Customers and visitors from other Multimatic locations
  • Vendors for Office supplies, support and catering
  • This role will work closely with other members of the Office Team; Office Manager, IT, Accounting, HR

Required Skills and Abilities:

  • Minimum of 3 years of experience with progressive scope of responsibility as an Administrative Assistant or Receptionist
  • Must be able to be on site and ready to work from 7:30am-4:30pm, Monday-Friday, with occasional overtime or schedule updates based on business needs
  • Experience within the Automotive or Manufacturing industry a plus
  • High School Diploma or equivalent is required, advanced degree is a strong plus
  • Positive, customer centric approach active to look for ways to support employees and guests
  • Excellent communication skills
  • Solutions based approach to problem solving
  • Excellent computer skills, with a strong working knowledge of Excel, Word and PowerPoint
  • Organized, accurate and attentive to details
  • An entrepreneurial mindset and roll-up-the-sleeves work ethic with perseverance
  • Ability to successfully interact with all levels of employees in a multicultural environment

Physical Demands/Work Environment:   

The ability to work in an office environment, which could include sitting or standing for the majority of the day. Responsibilities include the need to lift, carry, push, and pull material on an infrequent basis.
