Multimatic Structures & Suspension has recently expanded its manufacturing presence in the Fort Wayne, IN area. We are searching for a dynamic individual for the position of Front Lobby Receptionist.

SUMMARY

Supports the general office functions for Multimatic New Haven

ESSENTIAL DUTIES AND RESPONSIBILITIES       

Essential duties and responsibilities include the following. Other duties may be assigned. 

  • Front desk receptionist – answers phone, greets guest, takes and delivers messages
  • Responsible for visitor sign in book, plant visit confidential agreements, LOI and Contractor EMS logs and enter them into the EMS form Expirations log
  • Type memos, correspondence, reports and other documents for the General Manager and Human Resource Manager as needed
  • Files records as required
  • Collects and distributes incoming and outgoing mail daily
  • Operates office copier, fax and is fluent with spreadsheets and word processing
  • Assists in organizing and hosting visitors as needed. Keeps a supply of PPE for visitors
  • Works closely with all functional managers to provide administrative support activities as needed
  • Assists Human Resources with recruiting activities
  • Event planner for company lunches, recognition and off site events. Plans and coordinates activities with an events committee
  • File training records and maintain a data base for Training Documents for TS standards
  • Prepares reports and graphs as required
  • Purchase and stock office supplies
  • Assures that the conference room supplies (drinks, coffee, and cups) are stocked for meetings and guests
  • Arrange lunches and travel arrangements (airline tickets, car rental, etc.) as requested
  • Perform other duties as required

EDUCATION and/or EXPERIENCE

  • High school diploma or general education degree (GED)
  • Minimum one year office experience, preferably in a manufacturing environment
  • Demonstrated proficiency with Microsoft Office (Word, Excel & PowerPoint) & Outlook E-mail

LANGUAGE SKILLS

Must possess excellent grammar and language skills, being able to deal with all types of people with tact and diplomacy. Must possess ability to read and speak effectively with fellow employees and upper management so as to be able to interpret reports properly that will need to be typed.
