Multimatic Niche Vehicles produces the Ford GT supercar and other specialty vehicle components and assemblies, utilizing some of the world’s most advanced technological processes in the global market, and is currently seeking an Executive Assistant to join the team.

Position Summary:

The Executive Assistant will be reporting to the Executive Vice-President of Niche Vehicles, and responsibilities will include providing support to the various manufacturing and production facility management where required.

The ideal candidate will be highly self-motivated, professional, and capable of managing their workload and prioritizing tasks in a fast-paced corporate environment. The successful candidate will have a track record of demonstrating a high level of confidentiality and discretion, has interacted directly with various levels of staff from C-level executives to production associates, and will be responsible for performing a number of administrative duties, including but not limited to, creating presentations, completing expense reports, and making travel arrangements.

Key Responsibilities:

  • Coordinate executive communications, including taking calls, responding to emails and interfacing with internal/external customers
  • Prepare internal and external corporate documents for team members and industry partners
  • Schedule meetings / appointments, book and manage travel itineraries, and provide reminders
  • Arrange corporate events (may be internal or external to the work place, ie. golf tournaments, fund-raising events, staff appreciation events, etc.)
  • Maintain an organized filing system of paper and electronic documents
  • Uphold the highest level of confidentiality and discretion
  • Demonstrate, develop and sustain a level of professionalism among staff and clientele
  • Act as the point of contact between the executive and internal/external customers
  • Take dictation and minutes and accurately enter data
  • Produce reports, presentations and briefs
  • Support and adhere to policies, procedures, and operational guidelines of the organization

Requirements:

  • Minimum of 4+ years’ of experience as an Executive Assistant, reporting directly to senior management, with a minimum of a College diploma
  • Advanced Microsoft Office skills, with an ability/desire to become familiar with company-specific programs and software
  • Successful track record of organization and planning skills, with an exceptional ability to manage various tasks and conflicting timelines in a calm and professional manner
  • Proficiency in collaboration and delegation of duties
  • Exceptional interpersonal skills with a friendly and professional demeanour
  • High level of attention to detail and accuracy
  • Resourceful when presented with a problem or roadblock
  • Proficiency in English with strong verbal and written communications skills, especially over the phone
  • Exceptional ability to determine appropriate level of discretion and confidentiality
  • Must have reliable transportation to and from work location(s)
  • Prior experience working with automotive manufacturing executive staff is an asset
